The Assistant Project Manager (APM) supports the successful execution of commercial HVAC, plumbing, and sheet-metal projects from turnover through closeout. This role is responsible for administrative, coordination, and field-support functions that keep projects organized, profitable, and moving forward.
The APM works closely with Project Managers, Superintendents/Foremen, subcontractors, vendors, and internal accounting and operations staff. This is a growth-oriented role intended to develop into a full Project Manager position.
Support Project Managers with day-to-day project execution tasks
Assist with project startup, including:
Contract review and scope familiarization
Submittal and shop drawing tracking
Document control (drawings, specs, RFIs, ASIs, bulletins)
Maintain organized and accurate project files
Submittals, RFIs & Documentation
Prepare, log, and track submittals for approval
Assist in drafting and tracking RFIs and responses
Distribute approved submittals and updated drawings to field teams
Maintain current document sets for project teams
Scheduling & Procurement Support
Assist with short-term look-ahead planning and schedule updates
Track long-lead equipment and material procurement
Coordinate with vendors and suppliers on lead times and deliveries
Help ensure materials arrive on site when needed to avoid downtime
Financial & Cost Tracking Support
Assist PMs with:
Change order preparation and backup
Labor hour tracking and productivity monitoring
Job cost coding and cost-to-complete updates
Coordinate with accounting on:
Monthly billing support
Change order logs
Closeout documentation
Field & Operations Support
Act as a liaison between the field and the office
Attend jobsite meetings as needed and issue meeting minutes
Help resolve day-to-day coordination issues with foremen and vendors
Support safety documentation and compliance requirements
Closeout & Turnover
Assist with project closeout, including:
O&M manuals
As-built drawings
Warranty documentation
Ensure timely and complete turnover to clients and service teams
Qualifications
Required
1–3 years of experience in construction project coordination, APM, or related role
(Commercial HVAC / plumbing / mechanical experience strongly preferred)
Strong organizational and time-management skills
Ability to manage multiple projects and priorities simultaneously
Clear written and verbal communication skills
Proficiency with Microsoft Office (Excel, Outlook, Word)
Preferred
Experience working with union mechanical trades
Familiarity with Procore, Autodesk Construction Cloud, Bluebeam, or similar platforms
Basic understanding of mechanical drawings and specifications
Field exposure or prior trade experience is a plus
