First Church Congregational, United Church of Christ, is a welcoming, active and engaged
congregation that worships, teaches and serves in Methuen and the larger community since
1729. Chapel School has been an essential ministry of First Church for sixty years. Chapel is a
non-denominational preschool licensed by the Commonwealth of Massachusetts, serving over
100 students who attend half-day sessions two, three or five days weekly, with a number of
students remaining through the afternoon.
The Administrative Assistant/Office Manager is part-time, with hours varying according to the
season of the year: 35 hours for 40 weeks (mid-August through mid-June), and 15 hours for 10
weeks (summer and school vacation).
Third week of August through Third Week of June: Monday through Friday, 8 a.m. - 3:00 p.m.
Summers and three weeks of school vacation: Monday through Friday, 9 a.m. - 12 noon
The Administrative Assistant is accountable to the Senior Pastor (Chief of Staff) and the Director
of Chapel School, working directly with Senior Pastor, Director of Chapel School, teachers,
parents and parishioners.
Proficiency in Microsoft Word, Publisher, QuickBooks, Excel, and website maintenance.
Strong administrative and organizational skills.
Knowledge of church management software ͞Shepherd's Staff͟ a plus.
Initiative, responsibility, reliability and attention to detail.
High standard of excellence with minimal supervision.
Maturity, personal warmth, people skills, a caring heart and a team spirit.
Respects people of diverse opinions, understandings, experiences, identities, family
configurations, and faith or non-faith.
Open/eager to learn new skills or software as the need arises.
Must pass a comprehensive background and CORI check.
Exceptional receptionist skills on the phone and in person, answering phone or doorbell
promptly and courteously, welcoming families, parishioners and others visiting the
Manage incoming mail, packages and other deliveries.
Ability to manage multiple tasks with accuracy and follow-through.
Process donations and tuitions, respond to mailings and entry of payroll/bills for Church
Weekly bulletins, weekly email updates, monthly newsletters, notices, letters, annual
reports and other church or Chapel publications as necessary.
Maintain and replenish inventory of supplies for church and school.
Create and maintain records and logs for Chapel School including student files, allergy
lists, injury logs, track substitutes, etc.
Assist teachers in filing reports, maintaining children's files, laminating, copier use, etc.
Purchase milk and snacks for Chapel School.
Assist in classrooms for teacher bathroom breaks and errands.
Perform other related duties as needed or assigned.
