Professional Secretary
Real Estate Executive – North Shore
We are seeking a highly organized, discreet, and experienced Professional Secretary / Executive Assistant to support a Real Estate Developer with a diverse portfolio of commercial properties and development projects. This role is ideal for a proactive professional who thrives in a fast-paced environment and takes pride in precision, confidentiality, and executive-level support.
Key Responsibilities
• Manage executive calendars, appointments, meetings, and travel arrangements
• Prepare, review, and organize correspondence, contracts, leases, and confidential documents
• Serve as primary point of contact between the executive and attorneys, brokers, lenders, consultants, tenants, and internal staff
• Draft professional emails, letters, reports, and meeting summaries
• Maintain organized digital and physical filing systems for property records and corporate documents
• Coordinate deadlines related to leases, insurance, permitting, and regulatory filings
• Assist with real estate transactions, due diligence materials, and closing documentation
• Handle phone calls and inquiries with professionalism and discretion
• Anticipate executive needs and manage priorities independently
Qualifications
• 5+ years of experience as an Executive Assistant, Professional Secretary, or similar role
• Prior experience in real estate, legal, finance, or professional services strongly preferred
• Exceptional organizational skills and attention to detail
• Strong written and verbal communication skills
• High level of discretion and ability to handle sensitive information
• Proficiency in Microsoft Office (Outlook, Word, Excel) and document management systems
• Ability to multitask, meet deadlines, and remain composed under pressure
