We are a stable, established site work contractor in the North Shore area, specializing in excavation, utilities, grading, and related construction projects. Our tight-knit team of just 12 employees focuses on quality, safety, and getting the job done right. We’re growing steadily and need reliable office support without the demands of a full-time role.
The Role
This is a true part-time, flexible position (typically 10–30 hours per week, scaling with project needs and billing cycles). You’ll come to the office only when necessary (e.g., for mail handling, audits, or peak billing periods), and many tasks can be handled remotely if you have a suitable setup. Perfect for someone seeking balanced hours, supplemental work, or a low-pressure role in a small construction company. We will train the right person on everything—including construction-specific processes like AIA billing, change orders, Dig Safe tickets, and our internal systems—so prior experience in those exact areas isn’t required. If you’re detail-oriented, organized, and eager to learn, this could be an excellent fit!
Key Responsibilities
-Perform bookkeeping duties: maintain financial records, reconcile accounts, and track project expenses.
- Assist with payroll processing and related tasks.
-Help prepare monthly billing in standard AIA format (we’ll train you on the forms and process).
-Support preparing and sending construction contracts, change orders, and project documentation.
-Manage invoicing, accounts payable/receivable, and expense tracking for jobs. --Assist during insurance audits by gathering and organizing required documents
-Handle daily mail (incoming/outgoing), filing, and general administrative support.
-Help obtain and track up-to-date Dig Safe tickets
What We’re Looking For
Required:
-Solid experience in bookkeeping, office administration, or a similar support role. -Strong attention to detail, excellent organizational skills, and comfort working with numbers and spreadsheets.
-Proficiency with Microsoft Office (especially Excel) and willingness to learn accounting software (e.g., QuickBooks—we can train if needed).
-Self-motivated and able to work independently with minimal day-to-day oversight. - Experience with payroll, invoicing, or audit support.
