Executive Administrative Assistant - CIO
As the Executive Assistant, you will provide dependable, high quality administrative support to the Chief Digital & Information Technology Officer. With a full range of administrative duties, you will work with minimal supervision in a fast-paced environment, will exercise judgment in prioritizing and will maintain a high level of confidentiality and discretion. You will create and maintain specialized reports, records and files required in connection with departmental work processes.
Provide full administrative support to the Chief Digital & Information Technology Officer (e.g., full schedule management and organizing all internal and external meetings)
Extensive calendar management, anticipating needs and proactively and effectively managing time accordingly
Help ensure requests are responded to in a timely manner and using best judgment to assist and make decisions without supervision when applicable
Screen and manage telephone and email inquiries and requests
Ensure timely expense reporting in compliance with organizational policies
All travel arrangements, managing complex itineraries, booking flights, hotels, ground transportation and restaurants
Compose, proofread, and edit presentations and proposals for senior management and leadership meetings
Partner with other administrative staff across the organization and executive leadership team for mutual success
Ability to manage work of a confidential nature with discretion; regularly handles sensitive and confidential information
Maintain a high level of professionalism in dealing with all matters
Excellent attention to detail
Working hours: 8:00 AM - 5:00 PM
Bachelor's degree preferred
7+ years' experience as an Administrative Assistant to executive level individuals
Extensive experience with PowerPoint and ability to create senior level presentation for internal leadership teams, external audiences, and the Board of Directors
Demonstrated ability to manage multiple deadlines simultaneously, while keeping organized, efficient, positive and focused
Proven track record of academic excellence and interpersonal effectiveness
Excellent organizational skills with attention to detail
Demonstrated ability to manage multiple projects and tasks
Strong analytical skills, with advanced knowledge of Microsoft Office products - Excel, Outlook, etc.
Excellent communication skills with strong written and verbal expertise
Can do attitude with a willingness to "pitch in"
