Administrative Coordinator

We currently have a full-time opening for an Administrative Coordinator at NSCH. The Administrative Coordinator, reporting to the Chief Operating Officer (COO) and/or the Director of Operations, provides day-to-day administrative support for senior managers and provides general office & clerical duties to support to the operation of the administrative suite. The Coordinator works collaboratively with the Executive Coordinator. In addition, the Coordinator will be responsible for processing outgoing mail, and scanning and uploading medical records information and release of information requests into a secure server.
As a team member you will work with staff who are racially, ethnically and culturally diverse, so being culturally competent is required. A sense of humor is also very important!

-Greet visitors to the administrative suite and announce their arrival to appropriate parties
-Manage the Outlook calendar and coordinate meetings for the COO
-Manage the calendar for the Admin suite conference room
-Interfaces with building security and coordinates parking passes for staff as needed
-Work on special projects as assigned by the COO and/or other senior leaders
-Support HR with new staff orientations including creating ID badges for new employees and other HR projects and assignments as needed
-Order and stock office and kitchen supplies for administrative suite
-Order food for meetings, help with set up and break down of meeting room
-Keep conference room clean and organized
-Book and coordinate any NSCH-related travel arrangements for senior managers
-Process all outgoing mail and bring to the mailroom daily
-Provide inter-office courier services as needed between the Salem, Peabody, and Gloucester sites
-Scan and upload into GRM Virtual Vault any Release of Information and medical record information (patient requests, other health care provider requests, lawyer requests, subpoenas, etc.) daily
-Enter confidential personal health information into computerized system with a high rate of accuracy
-Complies with federal, state, and local laws to ensure patient privacy
-Provide exemplary internal and external customer service
-Other projects and duties as assigned

-High school degree or equivalent required; College degree preferred
-2+ years of administrative/office experience preferably in a health care setting
-Proficient with Microsoft Suite (Outlook, Word, Excel, Powerpoint)
-Exceptional written and verbal communication skills
-Positive work attitude and a pleasant demeanor
-History of excellent attendance
-Maintain strict adherence to the NSCH Confidentiality policy
-Comply with all NSCH personnel policies and procedures
-Incorporate NSCH Mission and Values into daily activities
-Ability to organize and prioritize work and manage multiple priorities for multiple people
-Excellent attention to detail
-Proven experience working with a culturally diverse population
-Reliable transportation to allow for driving between all NSCH sites
