-Make an outstanding impression to visitors and employees responding to various requests.
-Ensure that meeting rooms and public spaces are highly presentable.
-Ensure timely setups of conference rooms, employee café , etc. for employees and visitors.
-Assist with on-boarding and off-boarding of employees
-Answer incoming calls, respond to questions and forward calls as appropriate.
-Event planning for both external and internal office events, including lunch daily (scheduling conference rooms, ordering meals, etc.).
-Maintain adequate office supplies inventory, place re-stocking orders as needed.
-Manage incoming and outgoing mail, parcels, and deliveries.
-Maintain effective relationships with suppliers (office supplies, facilities and maintenance).
-Liaise with facilities management to request and coordinate basic maintenance functions, etc.
-Performs miscellaneous office administrative duties such as light calendar management, expense report processing, etc. as requested.
-Minimum of 1 year experience in a reception or administrative assistant role.
-Ability to maintain professionalism and a cooperative approach with a sense of urgency and a “Team Player” attitude.
-Must possess excellent organization, time management and follow-through skills.
-Intermediate computer skills, including MS Outlook, Word, and Excel, and Internet expertise for managing shipments, placing orders, etc.
-Ability to think and be proactive and independent in daily activities.
