A Biotechnology Company is seeking an Executive Assistant to perform as the first administrative and operations hire for their new office in Waltham, MA. The ideal candidate is an experienced professional who can work independently as the Executive Assistant to the CEO in addition to running the show as the Office Manager to help the company continue to grow and prosper in their new location.

DUTIES & RESPONSIBILITIES:
• Oversee the day to day office operations
• Source vendors, negotiate contracts and establish accounts during the start-up phase
• Manage the HR function
• Facilitate move into temporary and permanent office space
• Responsible for building board presentations
• Assist the CEO on management and administrative tasks
• Coordinate complex travel arrangements
• Book national and international travel arrangements
• Define project plans, setting milestones, and running meetings for a range of internal programs
• Oversee communications with stakeholders and partners
• Order and maintain office and kitchen supplies and placing orders as needed
• Maintain FedEx account: creating shipping labels and coordinating urgent delivery pick up needs
• Coordinate facilities needs with landlord as well as handling badge and security access
• Act as website administrator, responsible for content additions/ modifications and acting as media contact
• Coordinate public relations and investor relations activities

QUALIFICATIONS:
• An undergraduate degree is required with a post graduate qualification favorably viewed
• 8+ years of work experience in a fast paced environments with ownership of multiple work streams
• Strong MS Word, PowerPoint and Excel capabilities
