As Superstar Executive Assistant you will support the Principal Broker in achieving greater levels of success and growth. Your leadership on all administrative tasks will allow the Principal to focus on generating new business, growing the team, negotiating deals and staying in touch with past clientele.

General office hours with some flexibility during the busy reason and potential for working from home during the slow season.

You will:

Handle Principal's email and calendar
Prepare pre-list, listing, and buyer consultation packages when requested
Handle brokerage paperwork and enter data into MLS & LINK
Maintain all aspects of Team Client Database
Coordinate mailings and photography with outside vendors
Keep Principal informed about challenges and issues that need to be handled

As Superstar Transaction Coordinator, you will take ownership of transactions from Contract to Close which is a very important position for our team! You will bring your superior attention to detail and play a key role in the achievement of our real estate team's goals through the facilitation of smooth transactions from point of accepted contract to delivery of keys.

The tasks that must be performed to get a contract to closing do not always happen in a linear manner, and it is because of this fluid nature of the tasks that keen attention to detail is necessary.

You will:

Manage all the transaction details for listings and buyers' sales, serve as a liaison via phone and email for agents between clients, attorneys, lenders, inspectors, staff, etc.
Prepare required Real Estate documents for client signatures and completion
Attend home inspection, appraisals, and occasional showings if needed (most of the properties are located in Charlestown)
Communicate with clients throughout the selling process to ensure that they are informed of deadlines and important dates and educate as necessary
Provide concierge level customer service to clients and customers
May require some after-hour responses to clients and extended hours during the busy season


Positive attitude and willingness to learn
Massachusetts Real Estate license is a must (or willingness to obtain asap)
Previous experience in real estate, property management, or other related fields is strongly preferred as you need to be familiar with real estate contracts
Excellent customer service and interpersonal skills; can empathize and build relationships with a variety of personalities
Have excellent attention to detail and high-level accuracy with documents
Flexible in daily routine; ability to prioritize and act quickly
Learning based and solution oriented
Excellent written and verbal communication skills
Technical Requirements: Experienced with Microsoft Excel (Above Average), Word, Publisher, Gmail and Gmail Calendar, PowerPoint. Tech savvy and able to learn new programs quickly.
