Job Overview:

The Operations Supervisor oversees and ensures effective operation of multiple functions within the Lockbox Department. This individual assists the Management team on customer specific requirements and deadlines, abiding by bank and department policies and procedures. This individual is also responsible for initiating and delivering corrective action for employees under their administration.

This position requires a high degree of responsibility, as this individual assists in staff development and training, provides support and leadership to co-workers and promotes teamwork in the group while establishing and maintaining effective employee relations. At all times, the Supervisor should be visible within the department interacting with staff in order to identify system, process or procedural problems.

Responsibilities:

(E) Essential:
  • Supervise and coordinate the daily operation of multiple functions within the Lockbox Department. Ensures that the work is processed according to Bank policy, departmental procedures, and customer specifications, including processing deadlines.
  • Formulate, implement and monitor staffing/equipment schedules pertinent to the area of responsibility while utilizing both to their full potential resulting in minimal overtime and maximum machine utilization.
  • Maintain a strong working relationship with the other Supervisors and Coordinators to facilitate and ensure the efficient processing of the daily work.
  • Advise Management of any issues with the daily workflow and/or staff and work to resolve them.
  • Assists Manager with full people management responsibilities including hiring, promotions, performance, compensation management, recruitment, as well as training and development. Assist in the preparation of and conduct performance evaluations.
  • Assists Manager in handling escalated problems with staff and delivering corrective action when necessary.
  • Initiate equipment service calls, maintain service call logs, schedule preventive maintenance and review for completion, and act as a liaison between vendor service technicians and Lockbox staff.
  • Develop a solid team by promoting teamwork, training/cross-training efforts, along with accuracy and improved productivity initiatives.
  • Motivate staff thru appropriate education, effective communications, positive feedback, fair and business-driven decisioning, and creating a supportive, inclusive culture.
  • Works additional hours with little to no notice as needed to meet processing requirements.

(M) Marginal:

  • Assist management with other duties as assigned.
  • Participate, conduct and respond to new business activity.
  • Assist Management in the oversight of Vendor relationships, including actions to ensure issues are addressed and equipment is maintained.
  • Assist Management with the ongoing development, execution and maintenance of the Lockbox Disaster Recovery plan. Assume responsibility for the maintenance of the emergency contact lists to include additions, changes, and deletions. Guide Lockbox staff in Disaster Recovery exercises.
  • Assist Management in the monitoring and/or ensuring compliance with Federal and State laws and regulations; including but not limited to the Bank Secrecy Act and Anti-Money Laundering, in addition to, Bank operation policies and procedures.

Qualifications:

Knowledge/Skills/Experience Requirements: Strong supervisory skills; effective communicator, leadership capabilities, team building and motivational practices, scheduling experience and the ability to evaluate and monitor the workflow and adjust quickly to unforeseen problems/trends. Training capability, problem solving skills, flexibility, and strong interpersonal skills required. Possess 2-3 years Supervisory experience in a Remittance and/or Check Processing area (operating in an image environment preferred). Knowledge of and familiarity with the operation and administration of transaction processing systems. Proficient in Microsoft Office, strong PC knowledge required.
