As our part-time Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office You will be responsible for a variety of administrative tasks that contribute to the efficient functioning of our practice. Your primary duties will include:
Scheduling and Appointment Management: Coordinate patient appointments, ensuring an organized and balanced schedule for our practitioners. Answer phone calls, greet patients, and provide them with exceptional customer service.
Patient Records and Documentation: Maintain accurate and up-to-date patient records, including medical histories, treatment plans, and insurance information. Ensure confidentiality and compliance with relevant regulations.
Billing and Payments: Process insurance claims, handle patient payments, and manage billing inquiries. Maintain accurate financial records and collaborate with the billing department as needed.
General Administrative Support: Assist with general office tasks, such as managing emails, organizing files, ordering supplies, and maintaining a clean and welcoming environment for patients.
Marketing Assistance: Support our marketing efforts by managing social media accounts, including Facebook, Instagram, and Twitter. Create engaging content, respond to inquiries and comments, and assist with the creation of promotional materials.
To excel in this role, you should possess the following qualifications:
Organizational Skills: A strong ability to prioritize tasks, manage multiple responsibilities, and maintain attention to detail in a fast-paced environment.
Excellent Communication: Exceptional verbal and written communication skills to interact effectively with patients, practitioners, and colleagues.
Tech-Savviness: Proficiency in using office software (e.g., Microsoft Office Suite), scheduling systems, electronic medical records, and social media platforms.
Familiarity with Social Media: Experience managing social media accounts (Facebook, Instagram, Twitter) for business purposes, including creating engaging content, responding to inquiries, and utilizing social media analytics tools.
Customer Service: A friendly and empathetic demeanor, with a passion for providing outstanding customer service and creating a welcoming atmosphere for our patients.
Confidentiality: A high level of professionalism and integrity, respecting the sensitive nature of patient information and maintaining strict confidentiality.
