Cambridge Innovation Institute (CII) is seeking an extremely organized Conference Production Assistant (aka Conference Administrative Assistant) to join our team in Needham, Massachusetts in support of one of our conference directors.

If you are a self-motivated, detail-oriented and dependable team player with superior proofreading and communication skills, as well as an appreciation of science ranging from biotech to rechargeable batteries, then CII and this position may be an excellent fit for you!

The Conference Production Assistant will provide project support and administrative assistance in developing technical and scientific content for biotech, pharmaceuticals and energy storage events; and assist with deliverables. The Conference Production Assistant will build relationships with industry leaders, write conference collateral for marketing campaigns and update the content on our websites, brochures and database. Administrative skills are critical, as primary responsibilities include collecting and managing speaker content for brochures, managing speaker follow-ups, proofreading and posting on social media.

The most successful Conference Production Assistants are deadline-driven and goal-oriented, have a passion for learning, enthusiasm for generating ideas and strong interpersonal skills.


Role Responsibilities:
• Provide administrative assistance and project support to the Executive Director
• Build and maintain relationships with leading researchers in the biotech, pharmaceuticals and energy storage fields
• Manage speaker invitations and obtain speaker materials
• Compile, organize, proofread and edit time-sensitive conference content, correspondence and related digital and print materials
• Boost marketing efforts for our scientific conferences by writing campaigns and posting on social media
• Meet short turnarounds, work against tight deadlines and maintain high standards
• Manage overlapping projects with meticulous attention to budget and competing deadlines


Desired Skills and Experience:
• 3+ years' experience as an administrative assistant or project assistant
• 3+ years' background in proofreading and/or copyediting technical documents and preparing business correspondence
• Excellent English verbal and written communication and interpersonal skills [NOTE: Proofreading test will be administered]
• Outstanding organizational, prioritization and time-management skills and attention to detail while working on overlapping deadlines and multiple conferences simultaneously
• Highly self-motivated and dependable team player
• Prior work with high-level scientists preferred
• Proficiency with Internet research, Word, Excel, PowerPoint and Adobe
• Proficiency with social media such as LinkedIn and Twitter
• Ability and willingness to travel to domestic and international events (approx. 4 trips annually)

The Conference Production Assistant is required to work in our Needham, Massachusetts, corporate headquarters. We are only considering candidates who currently reside in Massachusetts.
