The assistant bookkeeper handles the details of our financial transactions, keeping accurate records and ensuring that payments are processed. He/she works closely with the Accounting Manager to ensure that congregants are billed properly. The assistant bookkeeper must juggle several tasks, dealing not only with numbers but also administrative tasks.
Duties and Responsibilities
Manage Day-to-Day Payments
The primary responsibility of the accounts payable assistant is to process accounts receivable, which includes regularly creating batches of congregant payments and donations, and preparing bank deposits for deposit at the bank.
The position involves using Chaverware, a synagogue membership software system. Batches of congregant payments are entered to each member’s account record. Payments may include tuition, membership dues, event fees and/or donations. Cash receipts may cover paying off an existing bill, a prepayment or overpayment that will be billed in the future, or a third party payment.
ChaverWeb Event Setup
Our membership software allows our members to view their accounts online, and to register for events. These events may include youth programs, special dinners and/or adult education classes. The assistant bookkeeper is responsible for setting up the various events on our system, which is then uploaded to the web.
A statement of account is sent to all members and non-members for any outstanding invoices, facility rentals, and event fees. Preparing the statements, and posting prepayments where needed, is part of the assistant bookkeeper’s responsibilities.
Perform Administrative Duties
Much of the assistant bookkeeper’s time is spent organizing data and dealing with paperwork. Aside from filling out forms, the assistant bookkeeper is expected to take on administrative tasks such as photocopying or scanning documents, keeping the company’s filing system organized and monitoring the postage meter. Allocating kitchen charges, copying charges and postage charges are part of the position, with emphasis on presenting a clear overview of previous transactions to assist the Accounting Manager with the monthly close.
Education and Training
The assistant bookkeeper should be familiar with basic accounting, bank reconciliations, payroll processing, and financial reports. Experience with data entry, bookkeeping, and/or synagogue membership software is preferred.
Bookkeeping coursework or certificate program. As associate or bachelor’s degree in accounting, finance, business or other related fields is preferred.
