Our small Newton Center medical device company is looking to fill a newly created position. The demands of a growing, rapidly changing company now require an Office Supervisor who will be responsible for scheduling, tracking, and reporting all shipments in and out of the building (snail mail, FedEx, UPS and other carriers, patient shipments, etc…). Additionally, he/she will have a host of other office duties (inventory and ordering of supplies, phone/receptionist duties, keeping common areas neat and clean, working with the landlord, implementing emergency preparedness plans, etc.).<br>
<br>
Accordingly, this position will be very fast-paced and quite demanding, which means you need to be fast on your feet, both physically and mentally.  We'd like someone with brains, please.<br>
<br>
Because you will interact with everyone in the company plus patients, physicians, outside vendors and others, you must be able to always keep your cool and be diplomatic, all while keeping up with the details, thinking ahead and taking care of business—please keep that very much in mind before you respond. If you aren’t that type of person, this is not the job for you.<br>
<br>
Experience / Education Needed<br>
<br>
-3+ years of office experience: you’ve got to be familiar with, and very capable of efficiently working in, a fast-paced, small-company office environment (there are distinct differences between small and large companies)<br>
-BA degree required<br>
<br>
Specific Skills<br>
<br>
-Shipping/Receiving: you must have experience tracking, sending and handling delivery exceptions on FedEx or other carrier packages and have been accountable for all incoming & outgoing mail and packages. You will be ultimately responsible for making sure those outgoing shipments packages actually get out<br>
-Purchase Orders: you must have experience correlating purchase orders to the products being delivered. We do not receive many shipments daily, but they must all be properly accounted for<br>
-Phone and Interpersonal Skills: you will be speaking with customers and vendors and coordinating the resolution of delivery exceptions with company employees, so excellent interpersonal skills are a must<br>
-Excellent Time Management Skills: there will be many trains on the tracks at all times, so being able to effectively prioritize and manage your time is critical<br>
-Office Management: the candidate must have demonstrated experience being the “point person” and “problem solver” in an office setting. You’ll get the copiers up and running again when they jam, keep supplies inventories ordered and on hand, greet guests, oversee and maintain office cleanliness, schedule repairs with the landlord, organize “all team” activities, follow processes and procedures, etc.<br>
-Superb Technical Skills: computer skills and software skills are tremendously helpful, as well as experience with VOIP systems<br>

SKILLS AND ABILITIES<br>

Our small Newton Center medical device company is looking to fill a newly created position. The demands of a growing, rapidly changing company now require a Shipping Specialist/Office Assistant will be responsible for scheduling, tracking, and reporting all shipments in and out of the building (snail mail, FedEx, UPS and other carriers, patient shipments, etc…). Additionally, he/she will have a host of other office duties (inventory and ordering of supplies, phone/receptionist duties, keeping common areas neat and clean, working with the landlord, implementing emergency preparedness plans, etc.). <br>
<br>
Accordingly, this position will be very fast-paced and quite demanding, which means you need to be fast on your feet, both physically and mentally. <br>
<br>
Because you will interact with everyone in the company plus patients, physicians, outside vendors and others, you must be able to always keep your cool and be diplomatic, all while keeping up with the details, thinking ahead and taking care of business—please keep that very much in mind before you respond. If you aren’t that type of person, this is not the job for you. <br>

Experience / Education Needed <br>
<br>
-3+ years of office experience: you’ve got to be familiar with, and very capable of efficiently working in, a fast-paced, small-company office environment (there are distinct differences between small and large companies) <br>
-BA degree required <br>

Specific Skills <br>

-Shipping/Receiving: you must have experience tracking, sending and handling delivery exceptions on FedEx or other carrier packages and have been accountable for all incoming & outgoing mail and packages. You will be ultimately responsible for making sure those outgoing shipments packages actually get out <br>
-Purchase Orders: you must have experience correlating purchase orders to the products being delivered. We do not receive many shipments daily, but they must all be properly accounted for <br>
-Phone and Interpersonal Skills: you will be speaking with customers and vendors and coordinating the resolution of delivery exceptions with company employees, so excellent interpersonal skills are a must <br>
-Excellent Time Management Skills: there will be many trains on the tracks at all times, so being able to effectively prioritize and manage your time is critical <br>
-Office Management: the candidate must have demonstrated experience being the “point person” and “problem solver” in an office setting. You’ll get the copiers up and running again when they jam, keep supplies inventories ordered and on hand, greet guests, oversee and maintain office cleanliness, schedule repairs with the landlord, organize “all team” activities, follow processes and procedures, etc. <br>
-Superb Technical Skills: computer skills and software skills are tremendously helpful, as well as experience with VOIP systems <br>

MassVOTE works on a nonpartisan basis to increase voter registration, education, and participation in historically underrepresented communities in Massachusetts to promote social, economic, environmental, and racial justice.<br>

As the temporary Assistant to the Executive Director this person will help recruit volunteers and interns, help manage Quick books, processing financial accounting transactions, managing VAN database.  In addition, day-to-day office management such as: maintaining office supplies, scheduling computer maintenance, scheduling meetings, managing Executive Director’s calendar, and leading some aspects of public policy work at the State House and City Hall.  <br>
<br>
Young Civic Leaders is an 11-month, multi-year apprenticeship program that provides a positive learning experience to 7 at risk youth from the Boston Public High Schools system.   These students intern in a professional environment, learn job skills, and get academic support, lead policy work around Pre-Registration and organize a once a year event in April called the Civies.  Participants work with youth across Greater Boston and Chelsea teaching young people how to civically engage.  The youth attend the program 10 hours a week during the school year and increasing to 25-30 hours a week during the summer months. <br>
<br>
As the temporary Youth Coordinator, this person will assist the Deputy Director in overseeing the 7 Young Civic Leaders that attend the program.  He/she will help lead the implementation of all Young Civic Leaders program activities including: organizing all trainings, field trips, activities with Bank of New York Mellon CityACCESS and organizing the Civies event in April.<br>

4.	Provide day to day user support to members of the Prevention and Wellness, Quality Assurance and Medical directors departments.

5.	Work closely with the medical department to interpret data from the CHIA system. Work closely with the IT department to improve the quality of Joseph Smith data in the CHIA system and to make that data useful to the medical providers.

Basic Needs provides financial assistance, legal services, domestic violence case management, nutrition services and a kosher food pantry. The person in this position must be have excellent time management skills, have the ability to prioritize multiple tasks and have a solution-based approach to work. The Administrative Assistant will work directly with the several Basic Needs Program Directors and staff members to ensure smooth day to day operations of all the programs. Responsibilities include but are not limited to: maintenance of client records, triaging client phone calls, researching and compiling community resources, organizing mailings and participates in data collection efforts.<br>

GENERAL SUMMARY/ OVERVIEW STATEMENT: <br>
Under minimal supervision, the Administrative Coordinator provides administrative and operational support to the Principal Investigator / Director of the Center for Redox Biology within the Division of Genetics. <br>

PRINCIPAL DUTIES AND RESPONSIBILITIES: <br>
1. Facilitate the smooth operation of the lab on a daily basis through efficient office management and supporting all administrative needs.  Ensure adherence to all Division policies and procedures.  Take initiative to follow up on matters independently.  Bring to the Director/PI and Division Manager¿s attention all matters that require his/her review and/or action.  Keep the Director/PI and Division Manager informed about any staff issues in a timely manner.  Regularly handle confidential information. <br>
2. Assist Principal Investigators in the preparation, typing and submission of grant proposals and necessary protocols.  Work closely with the Division Grants Manager / Grants Administrator to assemble and complete NIH forms for submission.  Maintain up-to-date versions of all of PI¿s key documents (e.g. CV, Biosketch) <br>
3. Assist with the preparation and submission of manuscripts and presentations, from draft stage to publication. <br>
4. Support required outfitting of Lab by assisting researchers as needed with placing orders for equipment, laboratory, and office supplies. Interface with vendors, manage orders, and liaise with Accounts Payable and Purchasing Departments as needed. Process all check requests and invoices in a timely manner. <br>
5. Serve as single point of support for lab members on any administrative issues.  Handle the on-boarding of new hires.  Assist staff with any organizational/policy/procedure questions.  Manage visas and appointments for lab members in conjunction with Division support. <br>
6. Organize logistics and schedules for lab or other meetings.  Arrange for technical support as needed.  Prepare and distribute any necessary materials/handouts. <br>
7. Organize and maintain PI and Lab files. <br>
8. Perform routine administrative tasks including managing Principal Investigator¿s calendar, lab meeting schedules.  Assist as needed with arrangements for seminars and conferences including travel itineraries, reservations and deposits, employee reimbursements. <br>
9. Perform all other duties and assignments as requested.  <br>

QUALIFICATIONS: <br>
Bachelor¿s Degree preferred with a minimum of 2 years relevant job experience.  <br>

¿ Computer proficiency required. <br>
¿ Excellent communication and interpersonal skills, collaborates well with others. <br>

GENERAL SUMMARY/ OVERVIEW STATEMENT: <br>

This position provides complete administrative supports to Dr. Meir Stampfer, Professor of Medicine. Some support may also be requested for postdoctoral fellows and students working with the investigators. The Administrative Secretary will perform a wide range of administrative tasks related to maintaining a daily calendar, organizing meetings, preparation of manuscripts and grant applications, some monitoring of grant accounts, support for teaching activities, and organizing travel, both domestic and international. The position requires working closely with five other administrative assistants at Channing Laboratory: while these assistants work in close collaboration and coordination, each position is unique.  Responsibility, flexibility, excellent judgment with a strong sense of initiative and the ability act independently are required to deal with all aspects of this diverse and demanding position. <br>
<br>
PRINCIPAL DUTIES AND RESPONSIBILITIES: <br>
<br>
1. Responsible for maintaining a computer calendar of daily, weekly and yearly appointments for the investigators, which requires first hand knowledge of the investigators¿ priorities, scheduling conflicts, and research and teaching activities.  Creates, organizes, prepares, and maintains information on all active files for daily, weekly, and monthly meetings, procuring articles, creating graphics, and ensuring delivery of all materials by meeting deadlines. <br>
<br>
2.        Plans and organizes committee meetings within Channing Laboratory, Harvard School of Public Health, and Harvard Medical School with colleagues and with outside collaborators, as well as the scheduling for the investigator¿s involvement in domestic and international lectures, conferences and presentations. Uses communication skills to prepare and deliver logistic information to organize and prepare outside lectures. <br>
<br>
3.        Works with the Channing grants administrator to prepare all grant applications in a timely manner. Grant preparation includes budgetary items, organizing the scientific content, maintaining the bibliography, collecting and updating all biosketches, and familiarization with submission guidelines, as well as post award activities, including helping to prepare progress reports and monitoring the accounts. <br>
<br>
4. Prepares and edits all manuscripts authored or co-authored by the investigator from draft  stage to publication using Medline to search citations and Endnotes to build literature libraries as designated by individual manuscripts. <br>
<br>
<br>
5.   Communicates between all students and the investigator around teaching activities including: maintain confidentiality in preparing course files, and submitting grades.  Procures and delivers class materials for the course syllabus and communicates directly with the Registrar¿s office on all new or changed information on a course syllabus. <br>
<br>
6.  Exceptional word processing skills, strong use of the English language in preparing   correspondence, creating presentations using a variety of graphs and tables presented in unique formats using Power Point software. <br>
<br>
7. Uses strong communication skills, familiarity with study design and recent findings to   answer questions from participants, and helping to deal with the media and the medical community on questions pertaining to the studies.  <br>
<br>
<br>
8.  Responsible for updating the investigators¿ curriculum vitae and biosketches, maintaining an ongoing file of all publications authored or co-authored by the investigator.  Develops and maintains computer files for other activities including letters of recommendation, grants, papers and manuscripts, and other projects. <br>
<br>
9. Facilitates the smooth operation of the office, using detailed knowledge of office       procedures, independent judgment and initiative in resolving problems and recommends improvement in office procedures when necessary. <br>
<br>
10.      Performs all other duties and assignments as requested  <br>

QUALIFICATIONS: <br>
Bachelor¿s degree, business/technical school or equivalent required.  Minimum of  4+ years of experience as an administrative secretary in a related research setting. <br>

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: <br>
1. The ability to prioritize among multiple tasks and to easily assimilate large amounts of information in a timely manner. <br>

In cooperation with the day shift supervisor and weekend shift supervisors, hire, train, schedule, supervise, and evaluate 25 to 30 student employees. Establish and maintain programs to motivate and reward student employees.<br>

In cooperation with the other supervisors, maintain the front desk systems for processes such as practice room overdue sanctions, practice room maintenance requests, student employee time sheets, supervisor shift logs, and residence hall guest pass issue<br>
<br>
Work with the other supervisors and the Associate Director of Housing in developing and reviewing front desk policies and procedures. Make recommendations to the ADH for improvements and renovations.<br>

Qualifications: <br>
<br>
High school or equivalent education, good communication and organizational skills required. Student employee supervisory experience preferred. <br>
Some computer data entry and word processing experience preferred. <br>
<br>
<br>
Other Information or Comments<br>
<br>
The front desk maintains operations on holidays and weather closing days during the school year and the supervisor works on those evenings or arranges adequate substitute coverage in consultation with the Associate Director of Housing<br>

Responsibilities:<br>

•	Handle inbound phone calls, redirecting to appropriate department or individual<br>
•	Take accurate, clear and complete messages from customers and prospects<br>
•	Some outbound appointment setting and appointment confirmation calling<br>

Compensation:<br>
Starting $9/hr to $12/hr depending on experience<br>
