MassVOTE works on a nonpartisan basis to increase voter registration, education, and participation in historically underrepresented communities in Massachusetts to promote social, economic, environmental, and racial justice.<br>

As the temporary Assistant to the Executive Director this person will help recruit volunteers and interns, help manage Quick books, processing financial accounting transactions, managing VAN database.  In addition, day-to-day office management such as: maintaining office supplies, scheduling computer maintenance, scheduling meetings, managing Executive Director’s calendar, and leading some aspects of public policy work at the State House and City Hall.  <br>
<br>
Young Civic Leaders is an 11-month, multi-year apprenticeship program that provides a positive learning experience to 7 at risk youth from the Boston Public High Schools system.   These students intern in a professional environment, learn job skills, and get academic support, lead policy work around Pre-Registration and organize a once a year event in April called the Civies.  Participants work with youth across Greater Boston and Chelsea teaching young people how to civically engage.  The youth attend the program 10 hours a week during the school year and increasing to 25-30 hours a week during the summer months. <br>
<br>
As the temporary Youth Coordinator, this person will assist the Deputy Director in overseeing the 7 Young Civic Leaders that attend the program.  He/she will help lead the implementation of all Young Civic Leaders program activities including: organizing all trainings, field trips, activities with Bank of New York Mellon CityACCESS and organizing the Civies event in April.<br>

5.	Work closely with the medical department to interpret data from the CHIA system. Work closely with the IT department to improve the quality of Joseph Smith data in the CHIA system and to make that data useful to the medical providers.

Basic Needs provides financial assistance, legal services, domestic violence case management, nutrition services and a kosher food pantry. The person in this position must be have excellent time management skills, have the ability to prioritize multiple tasks and have a solution-based approach to work. The Administrative Assistant will work directly with the several Basic Needs Program Directors and staff members to ensure smooth day to day operations of all the programs. Responsibilities include but are not limited to: maintenance of client records, triaging client phone calls, researching and compiling community resources, organizing mailings and participates in data collection efforts.<br>

Maintain up-to-date versions of all of PI¿s key documents (e.g. CV, Biosketch) <br>
3. Assist with the preparation and submission of manuscripts and presentations, from draft stage to publication. <br>
4. Support required outfitting of Lab by assisting researchers as needed with placing orders for equipment, laboratory, and office supplies. Interface with vendors, manage orders, and liaise with Accounts Payable and Purchasing Departments as needed. Process all check requests and invoices in a timely manner. <br>
5. Serve as single point of support for lab members on any administrative issues.  Handle the on-boarding of new hires.  Assist staff with any organizational/policy/procedure questions.  Manage visas and appointments for lab members in conjunction with Division support. <br>
6. Organize logistics and schedules for lab or other meetings.  Arrange for technical support as needed.  Prepare and distribute any necessary materials/handouts. <br>
7. Organize and maintain PI and Lab files. <br>
8. Perform routine administrative tasks including managing Principal Investigator¿s calendar, lab meeting schedules.  Assist as needed with arrangements for seminars and conferences including travel itineraries, reservations and deposits, employee reimbursements. <br>

GENERAL SUMMARY/ OVERVIEW STATEMENT: <br>

This position provides complete administrative supports to Dr. Meir Stampfer, Professor of Medicine. Some support may also be requested for postdoctoral fellows and students working with the investigators. The Administrative Secretary will perform a wide range of administrative tasks related to maintaining a daily calendar, organizing meetings, preparation of manuscripts and grant applications, some monitoring of grant accounts, support for teaching activities, and organizing travel, both domestic and international. The position requires working closely with five other administrative assistants at Channing Laboratory: while these assistants work in close collaboration and coordination, each position is unique.  Responsibility, flexibility, excellent judgment with a strong sense of initiative and the ability act independently are required to deal with all aspects of this diverse and demanding position. <br>
<br>
PRINCIPAL DUTIES AND RESPONSIBILITIES: <br>
<br>
1. Responsible for maintaining a computer calendar of daily, weekly and yearly appointments for the investigators, which requires first hand knowledge of the investigators¿ priorities, scheduling conflicts, and research and teaching activities.  Creates, organizes, prepares, and maintains information on all active files for daily, weekly, and monthly meetings, procuring articles, creating graphics, and ensuring delivery of all materials by meeting deadlines. <br>
<br>
2.        Plans and organizes committee meetings within Channing Laboratory, Harvard School of Public Health, and Harvard Medical School with colleagues and with outside collaborators, as well as the scheduling for the investigator¿s involvement in domestic and international lectures, conferences and presentations. Uses communication skills to prepare and deliver logistic information to organize and prepare outside lectures. <br>
<br>
3.        Works with the Channing grants administrator to prepare all grant applications in a timely manner. Grant preparation includes budgetary items, organizing the scientific content, maintaining the bibliography, collecting and updating all biosketches, and familiarization with submission guidelines, as well as post award activities, including helping to prepare progress reports and monitoring the accounts. <br>
<br>
4. Prepares and edits all manuscripts authored or co-authored by the investigator from draft  stage to publication using Medline to search citations and Endnotes to build literature libraries as designated by individual manuscripts. <br>
<br>
<br>
5.   Communicates between all students and the investigator around teaching activities including: maintain confidentiality in preparing course files, and submitting grades.  Procures and delivers class materials for the course syllabus and communicates directly with the Registrar¿s office on all new or changed information on a course syllabus. <br>
<br>
6.  Exceptional word processing skills, strong use of the English language in preparing   correspondence, creating presentations using a variety of graphs and tables presented in unique formats using Power Point software. <br>
<br>
7. Uses strong communication skills, familiarity with study design and recent findings to   answer questions from participants, and helping to deal with the media and the medical community on questions pertaining to the studies.  <br>
<br>

8.  Responsible for updating the investigators¿ curriculum vitae and biosketches, maintaining an ongoing file of all publications authored or co-authored by the investigator.  Develops and maintains computer files for other activities including letters of recommendation, grants, papers and manuscripts, and other projects. <br>

9. Facilitates the smooth operation of the office, using detailed knowledge of office       procedures, independent judgment and initiative in resolving problems and recommends improvement in office procedures when necessary. <br>

QUALIFICATIONS: <br>
Bachelor¿s degree, business/technical school or equivalent required.  Minimum of  4+ years of experience as an administrative secretary in a related research setting. <br>

Qualifications: <br>

High school or equivalent education, good communication and organizational skills required. Student employee supervisory experience preferred. <br>
Some computer data entry and word processing experience preferred. <br>

Other Information or Comments<br>

The front desk maintains operations on holidays and weather closing days during the school year and the supervisor works on those evenings or arranges adequate substitute coverage in consultation with the Associate Director of Housing<br>

A government agency in downtown Boston needs help with a long term project that has the potential of permanent hire for the right candidate. The position of Project Assistant will primarily consist of customer service and data entry duties, along with administrative tasks as needed.

The primary focus of this contract project will be handling inbound phone calls and entering information into a database. Other duties will include processing documents, updating records, working with Excel spreadsheets, email correspondence, transferring calls and taking messages.

Job Requirements:

This job requires strong attention to detail and accuracy in typing and organization. Another main qualification of this position is an upbeat and polished phone manner, as the Project Assistant will be handling a high volume of inbound calls and assisting people with concerns. This is an extremely busy office and the candidate must be able to multitask effectively. Six months of experience working in an office and data entry experience are required. Candidates with inbound customer service experience are ideal.

Qualifications<br>
•	Bachelor’s degree<br>
•	A large part of the position involves data entry and working with numbers; the ideal candidate is someone who knows s/he is a good fit for this type of work<br>
•	Strong communication skills (written, verbal) and solid computational math skills<br>
•	Meticulous attention to detail and ability to handle confidential information<br>
•	Self-organization, ability to follow process (important for gifts processing)<br>
•	Ability to work with a team<br>
•	Experience using Blackbaud/Raiser’s Edge development software is preferred<br>

The Administrative Coordinator is responsible for overseeing the administrative systems necessary for efficient functioning of our small and busy office. This position requires the flexibility and dedication to deal with multiple tasks, including working approximately one evening a month to assist with board of directors meetings.<br>
<br>
Responsibilities:<br>
•	Provide administrative support to the Executive Director and other staff.<br>
•	Provide staff support to the Board of Directors.<br>
•	Oversee the maintenance of all office equipment including computers, telephone systems, copier, fax and postage meter.<br>
•	Organize and administer the provision of office supplies.<br>
•	Provide receptionist and clerical support as needed, including directing phone calls and walk-ins to staff or outside support as needed.<br>
•	Provide back-up assistance to the accounting department.<br>
•	Maintain database, membership, and donor records.<br>
•	Provide support for key donor and event mailings and acknowledgements to donors.<br>
•	Coordinate and recruit volunteers to assist with CDC activities.<br>
•	Plan, assemble and distribute monthly calendar and Board package in conjunction with Executive Director.<br>
•	Perform minor server updates and backup procedures, with assistance and training from IT consultant.<br>
•	Other support tasks as requested by the Executive Director.<br>

Qualifications:<br>
•	Highly organized and self-motivated.<br>
•	Working knowledge of Microsoft Office, especially Microsoft Word, Excel and database programs.<br>
•	Excellent time management skills, flexibility and the ability to work independently and in a team.<br>
•	Strong English written and verbal communication skills, including a positive phone and face-to-face presence.<br>
•	Experience working with the public a plus, as is the ability to speak another language.<br>
•	Must have high school diploma and 2 years work experience.<br>

We are currently looking to fill a Seasonal Tax Administrative role in our busy Downtown Boston location.  The position is full-time beginning mid-late January and will run through April 15, 2010.  This position offers a competitive hourly rate plus time and a half for hours over 40 per week.<br>

Working in our Tax department you will be primarily responsible for assembling client tax returns for submission to Federal and State agencies.  The assembly process requires strong attention to detail and the ability to multi task in a deadline driven environment.  You will also provide coverage on our Reception Desk for breaks/lunch on a rotating schedule and be asked to assist with other Ad-Hoc general office support items as they arise.   <br>

In conjunction with the Program Director, completes other required national and hospital surveys, collating and reporting program or trainee data.<br>

4.	Informs residents and trainees of inter- and intra-departmental policy and procedure changes, with assistance from GME office.<br>
<br>
5.	In conjunction with Program Director, tracks, reports, and ensures compliance with procedures regarding licensing, moonlighting, CRICO extensions and annual contracts.  Monitor residents’ duty hours via regular review of data reports.<br>
<br>
6.	Maintains New Innovations (a web based residency management tool) with resident and faculty data<br>
<br>
7.	Manages the invitation and scheduling process for the recruitment process.   Serves as main point of contact for candidates and faculty for this process.  Maintains the ERAS database (Electronic Residency Application System) and conducts its processes.<br>
<br>
8.	Manages credentialing and appointment processes for all program fellows.<br>
<br>
9.	Manages the evaluative processes of trainees, the program, the faculty and rotations.  <br>
<br>
10.	Organizes meetings and prepares and distributes materials for conferences and lectures.  Schedules and prepares various meetings and program-related events.<br>
<br>
11.	Performs other duties as assigned.  <br>

Other Administrative Responsibilities<br>
<br>
1.	Serves as Division webmaster and is responsible for creating and maintaining clinical, fellowship and research web pages for the Division.<br>
<br>
2.	Maintains systems to track due dates of initial 90-day and annual evaluations for Division staff.  Sends notices to faculty of due dates.  Monitors completion of evaluations.<br>
<br>
3.	Creates and processes check requests, business expense reimbursement requests and purchase orders for the Division’s administrative office.  Maintains filing system to ensure easy access to documentation for financial reporting.<br>
<br>
4.	Assists with Division special projects, such as the Kidney Walk, World Kidney Day and special guest lectures.<br>
<br>
5.	Performs all other duties as assigned.<br>

QUALIFICATIONS:	<br>

Bachelor’s Degree.<br>
<br>
Minimum of 3 years of office administration experience, preferably in a healthcare and/or education setting.<br>
